Use the + / – signs from the top tools bar to zoom in or out of your ProjectMap™.
Alternatively, place your mouse cursor above the timeline and scroll up / down to expand/collapse the view.
In your ProjectMap™, select ‘Edit’ > ‘Add Milestone’. Alternatively, you can create a milestone by double-clicking the timeline (where the dates show).
In the Milestone settings dialog, customize the info and appearance of your milestone.
Click the blue “+” sign, located just above the first workstream in your ProjectMap™. Alternatively, click ‘+ Add new workstream’ found just below the last workstream in the ProjectMap™.
Within the ProjectMap™, notice a dark ‘+’ sign box which is triggered on the canvas wherever you place the mouse cursor. Click once to create an activity block. Click the text area (“Edit Me”) to rename.
By default, the Activity length will be created according to the current view of the map. (i.e – A week-long activity block will be created when the chosen view is in ‘Weeks’)
Hover over the right-hand side of the activity that you wish to be the predecessor, the “Connector” will appear, click on the connector, and drag to the next activity.
Create a new activity, Open the Activity window and click on the properties wheel, Select the “Turn to Buffer” button at the bottom of the popup, and then on Accept, the buffer will be created on the ProjectMap™
Click on the activity, see that the date appears on the activity box. You can either click on the “Settings” icon and change the date in the popup or, drag the left-hand side of the activity box to change the start date or drag the right-hand side of the box to change the end date. (note how the date changes as you do so)
Click on the Activity, from the Icon that appears, select the task Icon and the task window shall appear, you may enter one or many additional tasks in this window.
Click on Activity, select the Task Icon that appears. Each task in the list will have a time frame associated with it – you can use the sliders or the calendar for each task to change the start/end date.
Click on the three dots to the left of the workstream name – select “Add Substream”
Proggio is a very modern app. If we allow offline changes, 2 ppl working over the same timelines can do conflicting changes to the timeline. And when they go online again it will be difficult to resolve those changes. Proggio is designed for collaboration in real-time. Certainly, if you need offline to present your project and timeline we have a screenshot feature at the bottom right corner of the canvas that allows you to provide a snapshot moment in time for a presentation or if you need to present to a customer. No offline mode is allowed as it breaks the link b/t different ppl working on the project.
Task Management
Click on the hamburger menu and select Task Management from the menu dropdown
At the top of the Task Management page, you will see each member of the team represented by a small circle with either a picture or initials. Your tasks will be listed as the default, if you wish to see tasks assigned to other members of your team, just select the circle that belongs to them and their tasks will appear.

Open the Task Management Page, on the right-hand side, you will see three tabs, Info, Discussion, and Attachments. Select the Attachments tab, click on the green plus sign in the section for attachments. Go to the folder where your document is stored, select the document and click open. As soon as the file has been uploaded, click on Done. You will see the document has been added to the attachment section.
You can see upcoming tasks for the next week, month or Quarter – Simply select the preferred choice from the dropdown menu on the top right of the page.
Double click on the activity and rename
Select the activity – on the left side of each activity there are three dots, click on the three dots and select “Add task” (this change will automatically be saved on the planning layer)
On the left side of each activity there are three dots, click on the three dots and select “Delete”, please note, deleting the Activity will also delete any associated tasks. (this change will automatically be saved on the planning layer)
Select the Activity or task that you want to assign to a team member, the selected item will change color. On the right side of the page, there is a dropdown called “Assignee” Click on the menu and select the person that you wish to assign.
On the right side of the page you have three tabs, Info, Discussion and Attachment. Select the Discussion tab, you can write a general message to all team members or to a specific person by adding the @ symbol. Select the person that you are messaging and post your message, an email notification will also be sent to that person. (All messages will be kept in the project Log)
Each activity or task has its current status showing, to change the status simply click on the status dropdown and select the new status (this change will automatically be saved on the planning layer)
Features
The first step is to configure Proggio within JIRA. A complete set of instructions can be found here. Please note – you will need admin rights on JIRA to set this up.
Select the Notifications icon (bell) which provides a feed/log of all changes. In addition, if you select Plan v Actual at the top center of the canvas this will provide an overview of any decisions that have changed/deviated from the plan.
Notifications are sent via email, either Daily, Weekly, or Monthly – you can decide and change in the user settings, which can be found under your avatar/initials in the top right of THE PLATFORM.
Click on the Icon with your initials on the top right-hand side of the Project plan, select user settings from the drop-down. In the pop-up window, click on Upload new picture, select the right file/image and click on done once it has been uploaded.
From within your project, go to the top right hamburger menu and click. From the dropdown, select “Projects Portfolio” – Each project is presented on its own row down the left-hand side. Every milestone for each project is represented by an arrow.
Open the Project Portfolio page, click on the Project that you want to move up the list, and drag to the top.
The Arrows represent milestones in a project. This allows you to keep track of all your projects in one screen and to make note of upcoming milestones across all your projects
Select the activity, click on the timer icon that appears, move the slider back and forth to show progress.
You can enter descriptions under the heading Descriptions on the Info tab once you have clicked Activities.
Hover your mouse over the workstreams and move your mouse wheel up and down, The height of each workstream will move accordingly
For a Mac User,
Taking a screenshot from a Mac could not be easier, just follow the following steps;
1. Press Shift + command-4 – the pointer with change to a crosshair
2. Move the crosshair to where you want to start the screenshot and then drag to select the area.
3. When you have selected the area that you want, release your mouse or trackpad button
4. Find the screenshot as a PNG file on your desktop
There are two ways to print your Project plan
1. Right Click below the project plan, select Print from the menu, change the Layout to Landscape and print out
2. If you are a windows user you can use the Microsoft snipping tool to take a screenshot of the project plan and crop the information that you need. more information on the Snipping tool can be found here – https://support.microsoft.com/en-ca/help/13776/windows-use-snipping-tool-to-capture-screenshots
Team Members
There are two ways to do this – Navigate to the Team Admin page, simply add the email address of the person you wish to invite, and assign him the appropriate permissions. You can also add a user when trying to assign a task or workstream. Simply click on the dropdown menu, with the names and click on Invite new user, enter the email address of the person you wish to invite, and click Invite.
Select the relevant activity, click on the Task icon, the list of tasks will appear, go to the “Assigned To” drop down menu of the task you wish to reassign and select the new owner.
To assign permissions, you need to be an Admin. If you are an Admin, click on your avatar/initials from the top right hand of the page and select Team Admin. Roles can be assigned and edited from this page.

There are multiple places with Proggio that you are able to communicate with team members, simply look out for the “Message” Symbol. Once located, click and the message window will pop up. You can write a message that is intended for the whole team or you can select the person that you wish to communicate with by adding the @symbol before the name. (All messages will be recorded in the project Log).
On the top right hand of the project plan, there is the “Chat” symbol – click on the symbol and the chat history will appear.
On the top right hand of the project plan, there is the “Bell” symbol, this is the notification center, click on the symbol to see all project updates that have been made.
